2What we collect
We only collect what we need to quote, print and deliver your order and to run this website:
- Order details: your name, company name, email address, phone number, delivery address and, if you give it, your VAT number.
- Artwork: the files you upload or email to us, and anything in them (such as names, phone numbers or photos).
- Payment: card and instant EFT payments are processed by PayFast on its own secure page. We never see or store your card details; we only receive confirmation that you have paid. If you pay by bank transfer (EFT), we keep the proof of payment you email us.
- Flyerz Cares applications: the details you send in the application form or by email, such as your name, organisation, contact details and the story of your cause.
- Artwork checks: files you run through our online artwork checker, and the email address you give if you ask for the report by email.
- Messages: what you tell us by email or phone.
- Device data: basic technical information, such as your IP address and browser type, that every website receives when you visit (see section 6).
3Why we use it
- To process your order: checking artwork, preparing proofs, printing, arranging collection or delivery, and keeping you updated.
- To take payment, issue invoices and keep the accounting records the law requires.
- To answer your questions and deal with problems, reprints or refunds.
- To consider Flyerz Cares applications and get in touch about them.
- To keep this website working, secure and easy to use.
- To send you news and specials, only if you have agreed to receive them (see section 8).
We use your information because we need it to fulfil your order (our contract with you), because the law requires it (for example tax records), or because you have given your consent.
5How long we keep it
- Artwork files: 24 months, so you can reorder with “Use my previous artwork”.
- Invoices, payment and accounting records: 5 years, as SARS requires.
- Flyerz Cares applications: for a reasonable period while we consider them and run the programme, then deleted.
- Other order details and messages: only as long as we need them for the purposes above or as the law requires.
After that, we delete or destroy the information securely.
7How we protect it
We take reasonable technical and organisational steps to keep your information safe: secure (HTTPS) connections, payments handled by PayFast, access limited to staff who need it, and secure storage of files and records. If we ever suspect a security breach that affects your information, we’ll tell you and the Information Regulator as POPIA requires.
8Marketing
We only send you news, specials or newsletters if you have agreed to receive them, or if you are an existing customer and we tell you about similar products. Every message includes a way to unsubscribe, and you can also ask us to stop at any time by emailing sales@flyerz.co.za.
If you tick “Email me specials and news from Flyerz” on our website, we add your email address to our Flyerz mailing list (run on Mailchimp) and keep a record of when and where you agreed. The box is never ticked for you.
9Your rights
Under POPIA you have the right to:
- ask whether we hold information about you, and ask for a copy of it;
- ask us to correct information that is wrong or out of date;
- ask us to delete information we no longer need or are not allowed to keep;
- object to us using your information, including for marketing;
- complain to the Information Regulator.
To use any of these rights, email our Information Officer, Nadine van der Walt, at accounts@maxxg.co.za. We may need to confirm your identity first. We’ll reply within a reasonable time, and usually free of charge.
